POSITION TITLE: HME PLANNING COORDINATOR
Reporting to: HME Superintendent
Location 📌: Senegal.
Objective:
The primary purpose of the position is to optimize the availability of mobile equipment by creating comprehensive and integrated work plans to achieve maintenance and service objectives, incorporating elements including routine servicing, preventative maintenance, major and minor repairs and overhauls, fleet commissioning, special projects, and related factors.
Key accountabilities:
General
· Establish and maintain Maintenance Planning standards and policies in conjunction with the Maintenance Superintendent.
· Conduct weekly planning meetings with maintenance and operations.
· Update the CMMS accordingly including the raising and closing of work orders and entry of planned start and finish dates.
· Training and coaching planners in the preparation of work packages and all other planning functions for each maintenance work group within the organization.
· Organize in accordance with procedures external service provider’s visits to site for Condition monitoring and any other outsourced maintenance services not able to be done using on-site resources.
· Regularly review spares holding policy for maintenance spares and consumables and adjust the purchasing and inventory control settings as required to reduce reliance on airfreight.
· Attend regular meetings with operations and maintenance personnel to review equipment performance, develop remedial actions and improvement plans for cost and performance.
· Assist in the development of the departmental budget, with particular effort towards producing a Zero-based maintenance budget.
· Record Meeting minutes which include a list of actions and responsible persons and timelines for action when required.
· Develop a succession plan for all maintenance planning positions with clear competencies to be achieved and timelines for achievement.
· Work with the Maintenance Superintendent to develop tracking and reporting systems for agreed KPI's to allow accurate and quick analysis of maintenance, breakdowns, costs, and operating performance of all mobile and ancillary equipment.
· Improve reliability and equipment health through condition monitoring techniques.
· Participate in failure and damage reporting, tracking, work scopes and evaluations.
· Analyze trends and monitor the performance of equipment as directed by the HME Superintendent.
Safety Management
· Ensure that all staff conduct themselves in a safe manner in accordance with company policies, procedures and benchmark a ‘Take 5’ and Duty of Care safety focus.
· Ensure all activities are conducted in a safe and compliant manner following company policies and industry best practices.
· Liaise with environmental and community relations staff regarding issues, incidents, or non-compliance within the area of your responsibility.
· Assist with and cooperatively facilitate the conduct of regular safety and environmental audits of areas.
· Ensure that recommended actions from safety and environmental incident investigations from audits are completed or addressed in a timely and acceptable manner.
· Comply with the company’s established health and safety policies, practices and Occupational Health and Safety Acts in the applicable jurisdiction.
· Visibly practice safety leadership through leading by example.
· Actively ensure a safe work area and environment for yourself and the staff under your area of responsibility.
· Promptly report and correct unsafe acts and conditions.
· Report any incident as required and ensure follow up with corrective actions.
· Do investigations on incidents reported and ensure adequate close out of corrective actions.
· Ensure risk assessments are completed for the work area and apply issue-based risk assessments when high risk activities are reported or noted.
· Update the risk register if required when an incident has occurred.
· Ensure every person within the team is fit for work.
· Ensure that agreed procedures, safeguards and controls are applied and used.
· Ensure all activities are conducted safely and in accordance with Company standards and procedures.

Mobile Maintenance
· Ability to satisfactorily work with others respectfully and professionally in a team environment, and provide reasonable instructions, training, and supervision.
· This position requires a lead by example approach to ensure best practice solutions are implemented as a team effort to encourage growth within the organization.
· The equipment consists of regular mining equipment, facilities and infrastructure currently supporting workshop and infield repairs.
· The elected candidate should provide interactive positive systems to enable asset management and equipment health standards to world class levels of performance and reliability.
· Efficient management of a team of people and a group of equipment.
· Ensure that all maintenance is performed in a safe and cost-effective manner through the efficient use of available resources (personnel and equipment).
· Work collaboratively with the wider Mobile Maintenance department and other departments, such as Drilling operations, Supply, Training and Development, Technical Services and Contract departments to achieve all objectives as directed.
· Apply industry best practice preventative maintenance and repair techniques.
· Minimize the impact of unplanned maintenance on mining and plant production targets.
· Investigate possible bottlenecks, areas of concern, existing practices, and source engineering solutions to benefit equipment availability.
· Must be dependable, dedicated to getting the job done correctly, and use time efficiently.

· Comply with current site safety culture and compliance to all safety systems is required.

· Maintain level of work performance in accordance with KPI standards and / or work order specifications.
· Take responsibility of site resources and supporting equipment to include operational maintenance, daily inspections, and quality control.
· Assist in planning and scheduling.
· Participate in long term planning, budgeting, and asset management activities.
· Minimize equipment downtime events to enable optimized performance and reliability.
· Provide solutions and engineering methods of repair in line with OEM standards.
· Provide detailed failure analysis reports.
Cost
· Manage maintenance personnel, contractors, and equipment in the most cost-effective manner possible as requested.
· Manage budget allocations and expenses for mobile fleet maintenance, ensuring cost efficiency and timely adjustments.
Policy, Procedure and Process Development
· Ensure that all policies and strategies are clearly documented following best practice.
· Develop and implement Safe Working Instructions.
· Recommend improvements to any process that may lead to safer, more productive operations.
· Work collaboratively with the Maintenance Superintendent and other suppliers to ensure appropriate stock is always on hand to maintain mobile equipment availability.
Reports, Procedure and Process Development
· Ensure that all reporting requirements are carried out on a daily, weekly, and monthly basis.
· Ensure timely reporting and adherence to administrative and operational processes
· Provide input to the monthly operational report and cost variance report as requested.
Information
· Produce accurate and timely information for the various weekly meetings.
· Participate in weekly planning meetings with the maintenance team.
· Ensure that the CMMS are updated accordingly.
· Ensure the raising and closing of work orders.
· Training and coaching of subordinates in the preparation of work packages and all other functions for each maintenance work group within the organization.
· Regularly review spares holdings for maintenance activities and advise the Planning section on upcoming requirements.
· Aim to reduce the reliance on airfreight through good planning practices.

Skills, Knowledge & Experience
Education:
Knowledge, Training & Relevant experience:
· Trade qualified Diesel Fitter, Mechanical Trade OR Engineering Degree .
· 10 years’ experience in large scale mining environment including at least 5 years in senior maintenance planning roles.
· Considerable knowledge of all aspects of a large and diversified fleet of vehicle and equipment maintenance including the involved trades and sub-trades.
· Ability to devise specific maintenance, major overhaul and repair programs that are effective and within budget and to coordinate the administration of programs to minimize disruption to the fleet maintenance program.
· Experienced using a CMMS to provide accurate prediction of future activities and costs.
· Records of historical maintenance activities. Pronto is an asset.
· Driver’s License.
· Current First Aid qualification preferred.
Practical/Specialist Skills:
· Prior experience required in the use of CMMS. Pronto desired.
· Prior experience in all facets of Mobile equipment Maintenance.
· Proven track record for reliability and sustainable processes.
· Proficient in MS Office and MS Projects.
Other Skills or Competencies:
· Proficient with Microsoft Office & MS Project.
· Budget and cost management.
· Basic training qualifications.
· Ccommunication skills in English (French is an asset) to effectively interact with employees.
